Booking & Appointment Policy

Thank you for choosing Ed Nicholls Acupuncture. This policy outlines the terms for booking and attending appointments. By scheduling a session, you agree to these terms. Please read them carefully.

1. Booking & Confirmation

* Appointments can be booked online via my website or by contacting me directly.

* A booking is considered provisional until you receive a confirmation email or message from me. Please check your spam/junk folder if you do not see it.

* Please ensure your contact information is accurate at the time of booking.

2. New Patient Intake & Information

- To ensure safe and effective treatment, a full health and lifestyle consultation is required for your first appointment.

- Initial Intake Forms: You will be asked to complete a confidential online intake form prior to your first session. This is essential for treatment planning.

- At Your First Appointment: I will review your form with you in detail and discuss your health goals. Please arrive a few minutes early to settle in. This initial consultation and treatment typically lasts longer than a standard follow-up session.

3. Cancellation & Rescheduling Policy

This policy is in place out of respect for my time and that of other clients. Late cancellations prevent me from offering the appointment to others who may need it.

- I require a minimum of 24 hours notice for any appointment cancellation or reschedule request.

- Notice must be given by phone or email. An online booking system cancellation may not be sufficient on its own; please ensure you receive a reply from me confirming receipt.

- Late Cancellation/No-Show Fee: If you cancel, reschedule, or do not attend ("no-show") your appointment with **less than 24 hours notice, you will be charged the full fee for the missed session.

- This fee must be settled before any future appointments can be scheduled.

4. Late Arrivals

- Your appointment time is reserved specifically for you. If you arrive late, your session will still need to end at the scheduled time to respect the next client's booking.

- The full session fee will apply for shortened appointments due to late arrival.

5. Payments

- Payment is due at the time of service unless otherwise agreed in advance.

- I accept [List your payment methods, e.g., cash, major credit/debit cards, bank transfer].

- Invoices for late cancellation/no-show fees will be sent via email and are payable within 7 days.

6. My Commitment to You

* I will respect your time and be prepared for our session.

* In the rare event I need to reschedule or cancel your appointment, I will provide as much notice as possible and offer you the next available convenient slot.

7. Your Wellbeing & Conduct

- Please wear loose, comfortable clothing to your appointment.

- A clean, respectful, and quiet environment is maintained for all clients. I reserve the right to refuse service if a client’s behavior is disruptive, inappropriate, or poses a safety risk.

8. Health & Safety

- Please do not attend your appointment if you have a contagious illness (e.g., fever, flu, COVID-19). Contact me to reschedule. This policy is for the protection of all clients.
